Automations

Twelve automations, each EUR 3,950.

These are the twelve processes we meet most often at companies of 10 to 250 people. If yours is not listed, it is usually a variant, and if not, we will say so.

Builds every Sprint himself

Three kinds of automation, in plain English: a script always does the same thing (invoice in folder A goes to folder B). A workflow follows steps with decisions (mail in, recognise the type, make a draft). An agent may choose for itself which steps are needed, within limits you set. Everything in this catalogue is a workflow; we build agents under Bespoke work.

Per automation: what it does

Installation and construction

Quote generator

Starts when Request by email or web form. Works with Outlook or Gmail, Exact, Moneybird or AFAS. 6 to 12 hours per week.

An installation company with 30 requests a week: the request is read, items and quantities are recognised, and the quote is waiting as a draft in Exact with the right price list. A colleague approves and sends it.

All sectors

Mailbox sorting and draft replies

Starts when Every incoming email on a shared mailbox. Works with Outlook or Gmail, your CRM. 5 to 10 hours per week.

Mail is sorted by type (question, complaint, invoice, spam), gets a label and a draft reply in your tone. Nothing goes out until someone presses send.

All sectors

Reading purchase invoices

Starts when Invoice as a PDF in the mailbox or a folder. Works with Exact, Moneybird, AFAS, Twinfield. 4 to 8 hours per week.

Supplier, amount, VAT and cost centre are read out and prepared as a booking. Deviations from the purchase order go to a person.

Estate agents and marketing agencies

Lead follow-up

Starts when New lead in the CRM, a form or a Funda enquiry. Works with HubSpot, Pipedrive, Teamleader, WhatsApp Business. 3 to 8 hours per week.

A personal message within two minutes, a task for the salesperson, and a reminder after three days without a reply. The salesperson sees everything in the CRM.

Installation, healthcare, services

Scheduling and confirming appointments

Starts when Request by email, phone note or form. Works with Outlook or Google Calendar, your planning tool. 3 to 6 hours per week.

A proposal of two time slots based on region and availability, confirmation by email or WhatsApp, and a reminder the day before.

Marketing agencies and management

Weekly report from multiple systems

Starts when Every Monday at 07:00. Works with Exact, CRM, Google Ads, Meta, Excel. 2 to 5 hours per week.

Figures from four sources in one report with three sentences of commentary per client, in your mailbox before the week starts.

Web shops and services

Answering customer questions from your own documents

Starts when Question via website, email or WhatsApp. Works with Your manuals, price lists, terms and conditions. 5 to 15 hours per week.

Answers come only from your own documents, with sources. If the system does not know, the question goes to a colleague.

Companies from 50 people

Onboarding new employees

Starts when Contract signed in the HR system. Works with HR system, Microsoft 365 or Google Workspace. 2 to 4 hours per week.

Creating accounts, sending documents, scheduling the first working day, assigning a buddy. A checklist that ticks itself off.

Web shops and manufacturers

Orders from web shop to production

Starts when New order in WooCommerce, Shopify or Shopware. Works with Web shop, ERP or planning, label printer. 5 to 12 hours per week.

Orders from several web shops in one production list, delivery notes and labels without retyping, exceptions flagged.

Recruitment and companies from 50 people

Job postings and first screening

Starts when New vacancy or incoming application. Works with ATS, email, LinkedIn. 2 to 6 hours per week.

A job posting in your style from a role profile, applications summarised on four criteria, acknowledgement of receipt sent straight away.

Marketing agencies

Content production from your own material

Starts when New case study, blog or product photo. Works with LinkedIn, Instagram, your CMS. 3 to 6 hours per week.

From one case study come three LinkedIn posts and a newsletter item in your house style, as drafts, ready for an editor.

Sales and consultancy

Meeting notes to the CRM

Starts when A call or meeting that has just ended. Works with Teams, Google Meet, phone, CRM. 3 to 7 hours per week.

Summary, action points and follow-up appointment in the CRM, on the right customer. The salesperson checks it in thirty seconds.

Day 1
Intake, an hour and a half. We walk through the process with the people who do it now. We collect ten real examples: emails, requests, invoices.
Day 3
Design. One page: trigger, steps, what the person reviews, what gets logged. You approve it.
Days 4 to 9
Build. In your systems, on accounts in your name. With the ten examples as a test.
Day 10
First version, feedback round. The team works with it for an hour. We write down what needs to change.
Days 11 to 14
Adjusting and documenting. A manual in plain English, handover of accounts, code in your Git.
Day 15
Live. For the first week we keep a close eye on it daily. After that, Beheer (ongoing management), if you want it.
  • One automation from the catalogue, live in your systems
  • 15 working days: intake on day 1, design on day 3, first version on day 10, live on day 15
  • One feedback round with the team that will use it
  • Documentation and handover: workflows, prompts and accounts in your name
  • If it overruns, that is our risk, not yours
Upfront and honest

When we say no

It goes in the Quickscan report, free of charge, with the alternative alongside.

  • When the process takes less than three hours a week.
  • When the input is different every time and there is no decision rule in it.
  • When nobody is willing to review the exceptions.
  • When your data cannot be taken out of the system.
  • When a standard tool at EUR 30 a month does the same.
In every contract

Yours, and secure

Two commitments that are in every quote, and how the data flows.

Ownership

  • Workflows, prompts, accounts and code in your name, in your own Git.
  • Documentation at handover that lets another party carry on.
  • Maintenance can be cancelled monthly.
  • If you ask us to leave, we are gone within one working day and everything keeps running.

Security

  • EU hosting as standard; models through EU regions or European providers.
  • Data processing agreement with every project, read it here.
  • IBANs, BSNs and names masked before a language model sees anything.
  • A person approves whatever goes out the door. Every run is logged.

About Sprints

To servers in the EU. By default, automations run on EU hosting and we use models through EU regions or European providers. IBANs, BSNs and names are masked before a language model sees anything. A data processing agreement comes with every project and is published on this site.
